Monthly Feedback Feature [PM]

Monthly Feedback Feature

[Product Management]

Objective:

To integrate the monthly feedback aspect of Backfeed (Decathlon S.A. internal survey tool) into the Zest product, thereby introducing a new feature to Zest that is a more structured, regular survey of employee engagement

Background

Main functionality:

  • Adds a structured aspect to Zest
  • Brings in more uniform data about employee engagement
  • Keeps an archive of old monthly reports for each employee
    • Pdf of all old surveys for each employee can be exported by managers
  • Introduces a channel for employees to request face-to-face meetings with their supervisor & vice-versa

12 Steps of the Backfeed Survey:

  1. My energy at work [mood rating, comment]
  2. My work-life balance [mood rating, comment]
  3. My pleasures/things I enjoy-what gives me energy or lets me make advances [comment]
  4. Option to include a picture/doc/links-what gives me energy or lets me make advances
  5. My displeasures-what uses my energy [comment]
  6. Option to include a picture/doc/links-what uses my energy
  7. A point I would like to address [comment]
  8. My priorities [comment]
  9. My mission & how long it will take [6 mo or 1 yr], goal date, indicator of performance/completion of goal
  10. My plan of development
  11. How would I rate my contributions this month (Mood Rating)
  12. Send or delete

Other key features:

  • Ability to schedule meetings with supervisor → supervisor receives an invitation request from survey
  • Ability for the manager to access a dashboard where the surveys of his employees are consolidated
  • Ability for the manager to navigate between the monthly surveys and the annual surveys
  • Ability for the manager to invite his employees to a face-to-face meeting, as well as individually view the employees surveys

Final Designs

I distilled the 12 step process to a 4 stage process that is faster and easier for users to complete, while still hitting the key survey areas and allowing managers to get an in-depth, regular, analysis of  employee engagement and satisfaction. From the clunky, painful process that was the Backfeed survey, I designed a fun and quick experience that employees would naturally want to complete every month.

Feeling

My draft concept for the "Feeling" section.

To make the process faster, we wanted to use stars instead of the sliders. Each question would be answered out of 5 stars. In the final design (pictured), the stars were changed to weather icons in order to be more intuitive.

We designed it so the SuperAdmin can change what questions are being asked, as well as how many questions are being asked.

Draft Default Questions:

1. Your energy level? (pictured)

2. How would you rate your contributions at work this month?

3. Your work-life balance? (pictured)

Goals

My draft concept for the "Goals" section.

We combined goal setting (description of goal, timeline) as well as how the goal would be evaluated into one step. As many goals as needed could be added by the user.

Achievements

My draft concept for the "Achievement" section.

This section maps to the "Development" Backfeed section.

Eventually, after product brainstorming sessions, we changed the language to "Achievement" to promote a more positive user experience and clarify the intent of the section. We included a slider for evaluation in order to make the completion of this section more user friendly.

Contributions

My draft concept for the "Contribution" section.

This section was originally designed to be the Net Promotor Score question, which is a question that is designed to relay information about employee loyalty, and their likelihood to "promote" the company.

After brainstorming sessions, it was decided that a question about contribution would be better suited for the monthly surveys.

Thank you to Angie Urbina, Alexandre Bronchain, and the rest of the ZestMeUp team.
